Popis pracovní nabídky

As the Executive Assistant your key role will be to support her/his daily agenda, ranging from preparation and follow-up of management meetings, organization of travel and accommodation, up to the attendance of key management meetings to ensure results consolidation and execution. Prepare monthly reports for budgeting meetings, consolidate inputs from direct reports of managers. Provide inputs for reporting.
Gradually, you will become independently responsible for particular project areas within the HR field.

Key Responsibilities:
 

  • Calendar and Correspondence Management (maintain/pri­oritize and organize Outlook calendar/folders for assigned management)
  • Schedule appointments, manage inbox, read and respond to correspondence independently or as agreed with management
  • Provides information to managers, co-workers, customers, partners, vendors, prospects by telephone
  • Travel and Meeting Logistics Coordination
  • Arrange meetings (internal team & external customer/vendor/par­tner) and coordinate conference logistics as required. 
  • Process expenses associated with such travel/meeting coordination for assigned management.
  • Prepare/administer complex (activity/expense) reports, projects, documentation and correspondence which may also require collecting, organizing, consolidating and analyzing data. 
  • Contact key individuals inside and outside of the organization. 
  • Organize or support SAP events and meetings logistics 
  • Support in ongoing projects within HR Service Line
  • Support in planning and execution of reference visits of SAP customers

Požadujeme

  • Successful completed secondary level; Bachelor (or Master) degree preferred
  • MS Outlook – ADVANCED (must have)!!!
  • 5 years working experience in administration (SIMILAR POSITION)
  • Experience working as a PA/EA in international corporation is an advantage
  • Experience working within a customer oriented environment is preferred
  • Fluent written and spoken English (!!!)
  • German language on communicative level is “nice to have” 
  • Good telephone manner with excellent communication skills; both written and verbal 
  • Ability to work with confidential information
  • Ability to work under pressure and to deadlines
  • Ability to work alone as well as a team member
